Rainbowwave is currently looking for a diligent individual who can manage front of house services of the Showroom.  Ensuring all guests are greeted and welcomed with good service and maintain excellent standards of the Showroom during meetings, market, and events.  This individual will also be required to manage some PA administrative responsibilities for the Managing and Global Sales Directors with efficiency and accuracy.

The Role:

  • Monitor and ensure the reception area is kept tidy and projects a clean, well-kept image 
  • Greet and service all guests and clients to the showroom - provide refreshments and a comfortable waiting environment and inform relevant staff of their arrival
  • Receive deliveries (informing the relevant member of staff) and manage distribution of outgoing packages
  • Plan the showroom space for meetings on a daily basis – applying discretion for private meetings and managing the flow of meetings in an out of the Showroom
  • Report any building or facility issues as well as look after any contractors that visit the site
  • Support maintenance of out of London showrooms - role may include travel
  • Ad hoc operational support including basic admin 
  • Ad hoc showroom support for showroom events e.g. preparation of space, sourcing
  • Occasional diary management – scheduling and re-scheduling appointments, communicating to attendees, ensuring appointments are met and correct facilities have been booked
  • Travel management – coordinate travel logistics including flights, hotel, car and rail. Apply for necessary visas for travel.

The Candidate:

  • Two-three year prior experience in a similar role with experience of dealing with high profile and demanding individuals and used to constantly being one step ahead
  • High level of professionalism, confidentiality, discretion and judgement
  • A strong eye for detail
  • Excellent communication skills both written and verbal
  • Strong problem solving skills
  • Good motivational skills
  • Able to establish and build partnerships at senior management level
  • Build and maintain positive working relationships with wider organisation
  • Able to handle multiple assignments while showing diplomacy and efficiency in a high pressure environment
  • Ability to act quickly to last minute requests and changes
  • Ability to work effectively in a team whilst also being able to work autonomously
  • An extremely proactive and positive manner
  • A strong work ethic
  • Excellent Word, Outlook skills, familiarity with Excel and PowerPoint
