POSITION OBJECTIVE:

This position is responsible for the procurement of technology goods and services; supporting and guiding internal customers in the selection of appropriate supplies that meet requirements; leading direction and proper use of key procurement tools and contracts; organizing and maintaining accurate and complete records; and adherence to procurement policies, processes & procedures. Work closely with internal finance partners to provide oversight to monthly accruals and key company expenses.

FUNCTIONAL RESPONSIBILITIES :
  • Prepares and issues purchase orders from purchase requests.
  • Researches requested products and services; interact with internal and external customers responding to requests.
  • Sources, solicits proposals and conducts competitive bids.
  • Confers with vendors to confirm or obtain product or service information such as price, availability and delivery information.
  • Develop recommendation through analysis of proposals and other data and information to determine reasonable prices.
  • Evaluates / Provide Recommendations with vendors for determining their capability for performing to established specifications.
  • Negotiates best vendor terms, pricing and delivery based on specific budget and schedule requirements.
  • Confirms orders with vendors and internal customers, and follow through to assure timely, accurate and complete deliveries; resolve discrepancies, manage returns and exchanges as required.
  • Maintains and produces documentation of requisitions, purchase orders, quotes, supplies and product specifications, pricing, units of measure, performance terms, contracts, suppliers, manufacturers and other pertinent information.
  • Responsibility for all aspects of P-Card program from use to reconciliation totaling over $50M once fully implemented.
  • Reconciles invoices to receivers and purchase orders, resolving any issues with vendors to ensure invoices submitted for payment are accurate.
  • Maintains bid lists, vendor files and records, and prepares bid specifications.
  • Evaluates and monitors contract performance to ensure compliance with contractual obligations and to determine need for changes.
  • Primary contact to establish effective relationships with other departments to enforce company direction so desired results are achieved; leverage relationships with internal and external business partners to drive / create organizational vision & strategy.
  • Identifies and implements process improvements to maximize efficiencies and improve service.
  • Creates direction with 3 rd party relationship for Store Supply Program with responsibility of monitoring $10M in expense and over $3M in prepaid inventory held by the vendor.
  • Other general administration functions as assigned.


QUALIFICATIONS:
  • High School Diploma or GED: Associate or bachelor's degree preferred
  • 4+ years procurement experience preferred
  • Comprehensive knowledge of concepts, principles and techniques of purchasing
  • Proficiency with Microsoft Office Suite
  • Strong customer service skills; team oriented
  • Ability to multi-task gracefully and adapt to changing conditions in a fast-paced environment
  • Strong communication skills, both verbal and written, with the ability to interact effectively with all levels of internal and external customers in a pleasant, courteous and efficient manner
  • Expertise to work effectively with detailed financial data at a high degree of accuracy
  • Project and maintain a professional appearance and behavior consistently
